Operational Guidelines
- If a student has a letter of accommodation provided by ODR, and the student wishes to discuss the use of the ODR Testing Center to take assessments (exams, quizzes, etc.) requiring an accommodation; it is the faculty member’s responsibility to engage in that discussion with the student. ODR recommends this discussion include a process for handling testing questions that may occur during a test or any last-minute changes to tests or testing parameters.
- Use of the ODR Testing Center is not required to meet accommodated testing needs. Should a student and faculty member choose not to utilize the ODR Testing Center and work out alternate testing arrangements, they are free to do so. Faculty members are not required to notify ODR about alternate arrangements. For the purpose of this policy, all assessments will be denoted as “tests.”
- Tests and testing appointments will be funneled through and coordinated by the ODR Accommodate case management system. Faculty will use their UMW SSO to access this portal.
- ODR Testing Center hours run from 8:30am to 4:30pm, Monday through Friday. Please be mindful of any extra time needed when approving a time frame for tests. All testing appointments must conclude by 4:30pm. Students will be responsible for scheduling their own appointments at a time agreed upon with faculty. Faculty will be notified electronically of scheduled appointments.
- Due to the hours listed above and student accommodation needs, appointment times may need to fall outside of the regular class time in order to adjust for extenuating circumstances, such as back-to-back classes.
- Faculty members should be aware that the ODR Testing Center cannot honor unannounced, day-of quizzes for students. Instructors using pop quizzes will need to contact ODR at least 2 business days in advance.
- Faculty will be prompted to complete the Exam Upload Form prior to the student’s testing appointment. This form must be completed by the faculty member in Accommodate for each test to be taken at the center regardless of the test delivery method. It is the faculty member’s responsibility to complete the form and submit it at least 2 business days in advance of the student’s testing appointment. The test, testing materials, and instructions should be included and uploaded, if applicable, at this time. The method of test delivery to the ODR Testing Center will be at the faculty member’s discretion and will be noted on the Exam Upload Form. Failure to submit tests within this time frame may result in the need to reschedule the test at ODR’s and the student’s convenience.
- Tests that need to be scanned, enlarged, or converted into an alternative format per accommodation need to be received by the ODR Testing Center with a minimum of 3 business days in advance of the student’s testing appointment. Note: this is a different time frame than for the general test receipt.
- Students should inform their faculty members if they are/were unable to keep their appointment. The decision to reschedule testing appointments is at the discretion of the faculty member, unless permitted by the student’s accommodation.
- Students with appointments will be permitted to start their test after their scheduled appointment and will only have the remainder of the appointment time to complete their test. ODR will not notify faculty members of students arriving late or who fail to show for their scheduled appointment.
- Faculty will indicate on the Exam Upload Form their preferred method of exam return. These options include either in person pick-up at ODR (available same day) or scanned and emailed. Scanned and emailed exams may be delivered the following business day to permit ODR reasonable time to process the exam.
- Test Security – Please be aware that the Office of Disability Resources will do everything in it’s power to maintain the security and integrity of tests that are entrusted to us. Faculty should however; be aware of some limitations. While there will be proctoring staff present in the testing center and periodically checking in on testers, we will not be patrolling our testing rooms or looking over student’s shoulders. This type of intrusive monitoring would in many cases exacerbate the conditions for which students are testing with us in the first place. If we suspect that any honor violations have occurred – we will notify the instructor. The instructor will then make a determination as to whether or not they wish to refer a student to the honor council for further investigation of the circumstances.
