Operational Guidelines for Faculty
Testing Appointments
- The ODR testing center is available for use by any student with testing accommodations. Faculty and students should work together to agree upon a testing time. Faculty and students are not required to utilize the testing center, but faculty may elect to implement any or all student accommodations via use of the testing center.
- Students are responsible for scheduling their own appointments (at the time agreed upon with faculty). Faculty will be notified electronically of scheduled appointments. Faculty should contact the student and ODR immediately, if the appointment time was not approved.
- ODR recommends having a discussion with the student to go over a process for handling any testing questions that may occur during a test or last-minute changes to tests or testing parameters. If ODR staff is available, ODR will email faculty with student questions during a testing appointment.
- The ODR Testing Center cannot honor unannounced, day-of quizzes for students. Contact ODR with any questions.
Exams
- Tests are managed via the Accommodate case management system. Faculty can use their UMW SSO to access this portal. Faculty should complete Exam Upload Form found within the portal and upload the test. Uploading exams in Word format when possible, instead of a PDF, is preferred. Exams must be uploaded at least 2 business days prior to the testing appointment. Canvas exams proctored at the testing center only require the completion of the upload form with no test being attached.
- Tests that need to be scanned, enlarged, or converted into an accessible format per accommodation need to be received by the ODR Testing Center with a minimum of 3 business days in advance of the student’s testing appointment. Note: this is a different time frame than for the general test receipt.
- Faculty may deliver paper copies of tests and/or scantrons to ODR. Copies of the Exam Upload Form are available at ODR front desk.
- ODR provides internet disabled testing computers for students needing accommodations. Canvas exams are taken on students’ personal laptops (similar to a classroom environment). Certain accommodated electronic notes used for open note exams might require use of students’ personal computers, as use of the internet may be required for note access.
- The decision to reschedule testing appointments is at the discretion faculty,unless permitted by the student’s accommodation.
- Failure to provide exams within the allotted time frame may result in the need to reschedule student testing appointments at the student’s convenience.
