For more general Zoom guides, see our <a href=\"https:\/\/academics.umw.edu\/dls\/online-teaching-tools-and-resources\/zoom\/\">DLS Zoom tool page<\/a>.<\/p><\/blockquote>\n<h2><strong>Important Notes (Read this first!)<\/strong><\/h2>\n<ul>\n<li><span style=\"text-decoration: underline\">Before you can use this feature in Canvas<\/span>, you will first need to set up your UMW Zoom account by going to <a href=\"https:\/\/umw-sso.zoom.us\/\">https:\/\/umw-sso.zoom.us\/<\/a>, clicking &#8220;Sign In,&#8221; and logging in with your UMW Net ID and password.<\/li>\n<li>Please <a href=\"https:\/\/technology.umw.edu\/helpdesk\/\">contact the IT Help Desk<\/a> for issues or questions about accessing, setting up, or using your UMW Zoom account.<\/li>\n<li>Zoom has a robust collection of online guides. Using this feature, you could set your weekly class meetings at the start of the semester, and never have to touch it again for the duration of the class.\n<ul>\n<li>For example, you could use the following settings for a class that meets every TR:\n<ul>\n<li><strong>Recurrence<\/strong>: Weekly<\/li>\n<li><strong>Repeat every:<\/strong> 1 week<\/li>\n<li><strong>Occurs on<\/strong>: Tues, Thurs<\/li>\n<li><strong>End date<\/strong>: 12\/03\/2020 (last day of classes)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li><strong>Registration<\/strong>: this requires participants to register using a unique registration link prior to joining the meeting, and should generally <strong>not<\/strong> be used for class purposes<\/li>\n<li><strong>Security<\/strong>:\n<ul>\n<li><strong>Passcode<\/strong>: we recommend leaving Passcode checked to prevent zoom bombing. Users who click the link in Canvas will <strong>not<\/strong> be required to enter the passcode, even if this is checked.<\/li>\n<li><strong>Waiting Room<\/strong>: we <strong>do not<\/strong> recommend checking this box for class sessions, as it requires you to constantly monitor the waiting room during your class. If you are creating this Zoom meeting for <span style=\"text-decoration: underline\">office hours<\/span>, we <strong>do<\/strong> recommend enabling the Waiting Room so that your meetings are not interrupted.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Video<\/strong>: this determines whether you (<strong>Host<\/strong>) or your students (<strong>Participant<\/strong>) will have cameras automatically on or off when joining the meeting. We recommend defaulting to off.<\/li>\n<li><strong>Audio<\/strong>: leave this on &#8220;<strong>Both<\/strong>&#8221; to allow your students to join via phone or their computer microphone<\/li>\n<li><strong>Meeting Options<\/strong>:\n<ul>\n<li><strong>Enable join before host<\/strong>: We\u00a0\u00a0<strong>do not\u00a0<\/strong>recommend checking this box. This will allow anyone with the link to join a meeting at any time, even when you are not present.<\/li>\n<li><strong>Mute participants upon entry<\/strong>: we generally recommend enabling this option for courses. Students can unmute themselves during the class.<\/li>\n<li><strong>Use Personal Meeting ID<\/strong>: We do not\u00a0 recommend checking this box for regular class sessions. This is best saved for office hours or drop-in meetings. If you do use your personal meeting ID, make sure to turn on the <strong>Waiting Room<\/strong> feature under <strong>Security<\/strong>.<\/li>\n<li><strong>Record the meeting automatically<\/strong>: For remote class sessions, we <strong>do<\/strong> recommend recording your meeting in the cloud as a way to allow students to view the class session later with a transcript and automatically-generated captions.\n<ul>\n<li><strong>Important Note: <\/strong>Cloud storage space is limited, so you will need to have a plan for backing up\/alternative hosting of your videos if you would like to keep them long-term. You can download these videos to your computer after they are saved to the cloud, and from there upload to <a href=\"https:\/\/academics.umw.edu\/dls\/online-teaching-tools-and-resources\/youtube\/\">YouTube<\/a> or <a href=\"https:\/\/academics.umw.edu\/dls\/online-teaching-tools-and-resources\/onedrive\/\">OneDrive<\/a>. Videos will not be removed without prior warning from IT.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li>Click\u00a0<strong>Save.\u00a0<\/strong>You will now see the meeting appear under &#8216;Upcoming Meetings&#8217; in your Zoom dashboard for the course<br \/>\n<h2><a href=\"http:\/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-227\" src=\"http:\/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled-300x173.png\" alt=\"screenshot of the Canvas Zoom dashboard with recurring meetings listed\" width=\"600\" height=\"345\" srcset=\"\/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled-300x173.png 300w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled-1024x589.png 1024w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled-768x442.png 768w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled-1536x884.png 1536w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled-95x55.png 95w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled-690x397.png 690w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled-465x268.png 465w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/t-Meetings-Scheduled.png 1866w\" sizes=\"auto, (max-width: 600px) 100vw, 600px\" \/><\/a><\/h2>\n<\/li>\n<li>Notify your students about the Zoom meeting.\u00a0<a href=\"https:\/\/vimeo.com\/72222376\" data-api-endpoint=\"https:\/\/canvas.rice.edu\/api\/v1\/courses\/31333\/pages\/why-use-announcements-in-canvas\" data-api-returntype=\"Page\">Canvas Announcements<\/a>\u00a0is a good place to do this.<\/li>\n<\/ol>\n<h2><\/h2>\n<h2><strong>Special Considerations for Office Hours<\/strong><\/h2>\n<hr \/>\n<p>Though the instructions above can be used for a variety of purposes, there are some special considerations for creating meetings that will be shared across multiple classes, such as office hours.<\/p>\n<p><span style=\"text-decoration: underline\">You will need to to repeat this process in each of your Canvas courses<\/span>.<\/p>\n<ol>\n<li>Name the meeting &#8220;[Your Name] Office Hours]&#8221;<\/li>\n<li>[Optional] Write the days and times of your office hours in the <strong>Description<\/strong><\/li>\n<li>Set the meeting as <strong>Recurring<\/strong>, but under <strong>Recurrence <\/strong>select <strong>No Fixed Time<\/strong><strong>\u00a0<\/strong>(this will create a standing meeting at the top of you and your students&#8217; &#8220;Upcoming Meetings&#8221; dashboard)<\/li>\n<li>Enable the <strong>Waiting Room<\/strong> (this is very important to ensure students don&#8217;t drop in on a session in progress. You can leave Passcode enabled as well)<\/li>\n<li>Select\u00a0<strong>Use Personal Meeting ID<\/strong> (this will allow you to have the same meeting link for office hours across all your courses. While this is one option for offering office hours remotely, <span style=\"text-decoration: underline\">it may not be the best method for your class<\/span>. You (and your students) may prefer to schedule appointments in advance, and\/or designate office hours as a time when you are available for quick answers via email. If this is the case, instead of creating and posting your meetings in Canvas, you may want to create a Zoom meeting outside of Canvas (using the <a href=\"https:\/\/umw-sso.zoom.us\/\">web application<\/a> or the Zoom app on your computer), and share the the meeting link with your students only when they book an appointment.<\/p>\n<h2><\/h2>\n<h2><strong>Starting and Joining a Zoom Meeting<\/strong><\/h2>\n<hr \/>\n<ol>\n<li>You can start the meeting from the &#8220;Upcoming Meetings&#8221; area of your Canvas Zoom dashboard.<a href=\"http:\/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting.png\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-233\" src=\"http:\/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting-300x173.png\" alt=\"screenshot of the Canvas Zoom dashboard with recurring meetings listed and the start button highlighted\" width=\"600\" height=\"345\" srcset=\"\/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting-300x173.png 300w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting-1024x589.png 1024w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting-768x442.png 768w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting-1536x884.png 1536w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting-95x55.png 95w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting-690x397.png 690w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting-465x268.png 465w, \/\/academics.umw.edu\/dls\/files\/2020\/08\/Start-Meeting.png 1866w\" sizes=\"auto, (max-width: 600px) 100vw, 600px\" \/><\/a><\/li>\n<li>For your students, this button will be replaced with a <strong>Join<\/strong>\u00a0button. As long as you did not select &#8220;Join Before Host&#8221; when creating the meeting, students will not be able to join the meeting until you have started it.\n<ul>\n<li>Note: If you test this in Student View, sometimes the pink &#8220;You are currently logged into Student View&#8221; sometimes covers up the Zoom link in the navigation sidebar. You may need to adjust your screen size to see the link.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h2><\/h2>\n<h2><strong>Accessing and Publishing Meeting Recordings<\/strong><\/h2>\n<hr \/>\n<p>Zoom cloud recording is a great short-term solution for recording class sessions and easily sharing them with your students. The Zoom cloud generates a transcript and auto-captions, though these will need to be edited for accuracy.<\/p>\n<blockquote><p><span style=\"text-decoration: underline\"><strong>Important Note<\/strong><\/span>:\u00a0 Our Zoom cloud recording storage capacity is limited, and will need to be cleared out periodically. You can do this from within the Zoom Cloud Recordings tab when viewing your recording (the same place where you edit your transcript). Just click the scissor icon, and adjust the sliders to the times you would like your videos to start and end.<br \/>\n<blockquote><p><span style=\"text-decoration: underline\"><strong>Note<\/strong><\/span>: This will <span style=\"text-decoration: underline\">only<\/span> edit what students can see in the cloud recording, it does not edit the video file itself. You can change the edit at any time, and downloading the video will always give you the unedited video file.
